Imagine you're an event organizer juggling registrations, ticket scans, and hybrid setups, only to be slowed down by confusing tools and scattered platforms. That was the reality for many of the users we spoke with.

Through interviews, research, and competitor analysis, we identified friction points and designed smoother workflows for managing events.

This case study shares how we turned those frustrations into a more intuitive, streamlined experience

We conducted semi-structured interviews with event organizers to learn about their past experiences using other platforms. We wanted to hear their stories, what worked, what didn’t, and what features they wished they had.

These conversations helped us uncover what matters to them: tools that simplify planning, support both virtual and physical events, and facilitate promotion and engagement.

Before diving deep into design, we knew we needed to understand what was already out there; what worked, what didn’t, and where the gaps were. So, we rolled up our sleeves and conducted a thorough competitive analysis of four platforms: Eventbrite, Tix Africa, Cokobar, and Zoho Event Management.

We looked beyond the surface. For each platform, we read reviews on TrustPilot and explored their entire flow, from how organizers create events to how attendees interact with them.

We created flowcharts to map out the core user actions within the platform, including event creation, ticket scanning, and administrative management flows. These flowcharts helped us visualize the entire journey from start to finish, identify potential friction points, and ensure that each step was intuitive and aligned with user expectations.

We designed a comprehensive admin dashboard that gives event organizers a bird’s-eye view of everything they need to manage their events effortlessly. From the moment they log in, they’re greeted with a detailed summary of all events hosted; past and present.

The dashboard allows filtering by individual events, making it easy to zoom into specifics. Organizers can track key metrics such as total ticket sales, attendee check-ins, revenue insights, and overall event performance

From early interviews, we learned that users didn’t want a “powerful” tool that felt like hard work; they wanted something simple, clear, and fast. Tiny details like mismatched button labels or missing notifications created confusion and hurt trust.

By focusing on what truly mattered, clean visuals, intuitive flows, and practical features like manual ticket entry or instant guest views, we stripped away the noise and delivered an experience organizers actually enjoyed using.
